ENVIRONMENTAL ASSOCIATION “Dinarica”
- Position Title : administrator and office management position
Work Station: Mostar, Bosnia and Herzegovina
Reports to: Dinarica Director based in Mostar, WWF Adria Financial manager based in Zagreb as well as to WWF MedPO Financial Executive Director based in Rome.
This position (hereinafter “the Administrator”) is established to support Dinarica in the administration duties. Dinarica is program partner of World Wide Fund for nature (WWF) European Policy Programme – Branch Office i.e. WWF Mediteranean Programme Office (hereinafter WWF MedPO) in Bosnia and Herzegovina and is set out for the implementation of the WWF MedPO conservation programme in the Western Balkans Region, with particular focus on the activities within BiH. The Administrator will be also in charge to fulfill all the administrative duties related to Dinarica activities implemented in the framework of WWF mission.
In particular the Administrator will be in charge of the following tasks:
- Ensuring the compliance of Dinarica operations with WWF Network Standards and Policies and local legal requirements.
- Acquires good understanding of WWF Network administrative standards and Procedures, and in liaison with WWF MedPO Finance and Administration Unit (hereinafter “MedPO F&A”), acts as focal point for Dinarica, to set up office administrative procedures according to WWF network Standards, local legislation and best practice.
- Contracts administration and income/payment procedures.
- Liaise with MedPO F&A to develop standard templates for the different contractual agreements between WWF MedPO and Dinarica. (i.e. secondment of personnel, project activity management, office and logistics management).
- Liaise with MedPO F&A or other WWF Offices for the preparation of the service contracts for the implementation of the WWF operations in Bosnia and Herzegovina and is responsible for the administrative management of such contracts for Dinarica.
- Prepares employment and consultants contracts for the staff hired by Dinarica for the implementation of projects, ensuring the compliance with WWF Standards where applicable as well as the BiH legislation (or other Western Balkans countries where the position is hired). Ensures that Dinarica staff is paid on timely basis and in compliance with the contractual requirements and the local legislation.
- Prepares and administer contracts with Project Partners or external consultants and companies for the implementation of Dinarica activities. Ensures that contractees are paid on timely basis and in compliance with the contractual requirements.
- Project Budgeting, Administration and Financial Reporting.
- Assist on the project proposal development with particular regards to the development of budgets, cash flows and cost analysis.
- Assist on preparing Dinarica annual budgets and cost analysis for Dinarica offices in BiH and wider when necessary (WB region).
- Monitors Projects expenditure versus budgets and prepares financial reports as required by contracts with MedPO or other; ensures that financial reports are addressed on timely basis and in compliance with donor’s requirements.
- Assist in internal or external auditing procedures required by WWF MedPO or external donors.
- Organize and maintains archives, and keep track of all administrative documents
- Supports WWF MedPO F&A on the administration of activities related to WWF MedPO projects in BiH and wider when necessary (WB region)
- Office Management
- Performs other administrative tasks related to the logistic support for WWF projects managed by Dinarica, including general office management, purchase of office equipment, other office supplies, mailing and material delivery.
- Support in projects implementation
- Support Project Lead in team management, developing and maintaining relationships, organizing of workshops and conferences, monitoring and reporting
- Support Communications Officer in developing and delivering communications plan and activities
Skills and qualifications
- A University degree in Accounting, Finance, Management, or another relevant field;
- At least 3 years relevant work experience in similar capacity;
- Excellent verbal and written communication skills in English;
- Proficiency in Microsoft Office Suite;
- Maintains High personal integrity and confidentiality;
- Result oriented person with attention to detail and accuracy;
- Ability to manage multiple tasks, work under pressure and meet deadlines while maintaining work relationships in the face of conflicting demands;
- A confident and positive attitude with excellent cultural awareness and sensitivity;
- Willingness to travel;
- A self-starter who requires minimum supervision.
